This Privacy Policy explains how eTimesheets.com ("eTimesheets," "we," "us," or "our") collects, uses, shares, and protects information when you use the eTimesheets application and website (the "Service"). eTimesheets is a business-to-business application that serves as a system of record for employee time and can connect to third-party systems such as QuickBooks Online.

By using the Service, you agree to this Privacy Policy. It is incorporated into our Terms of Service (www.etimesheets.com/terms-of-service).

1. Our Role

eTimesheets is used by businesses ("Customers") to record and manage their employees' time.

• For the personal data of a Customer's employees that we process through the Service, the Customer is the controller of that data and decides how it is used. We act as a processor and handle that data on the Customer's behalf and under their instructions.
• For account and website data (for example, the contact details of the person who signs up), we act as the controller.

2. Information We Collect

a. Account information you provide. Business name, the name and email of account administrators and Users, and similar registration details.

b. Customer Data. Employee time records and related information you and your Users enter into or generate through the Service, which may include employee names, identifiers, hours worked, and project or cost allocations.

c. QuickBooks Online data. If you connect QuickBooks Online, we access — through Intuit's APIs and only with your authorization — the data needed to provide the Service, which may include items such as employees, vendors, customers, service items, accounts/chart of accounts, classes, projects, and time activity records. We access this data to read and write the information required for time tracking and synchronization.

d. Technical and usage data. Log data, IP address, and usage activity, collected automatically to operate and secure the Service. We use cookies and similar technologies for authentication and basic analytics.

3. How We Use Information

We use information to:

• Provide, operate, maintain, and support the Service, including syncing time data with connected systems.
• Authenticate Users and secure the Service.
• Communicate with you about your account, support requests, and important changes.
• Improve and develop the Service.
• Comply with legal obligations and enforce our agreements.

4. How We Handle QuickBooks Online Data

We want to be clear about this because it matters:

• We access your QuickBooks Online data only to provide the Service and only with your authorization through Intuit's standard connection process.
• We do not sell your QuickBooks Online data.
• We do not use your QuickBooks Online data or other financial data for advertising or marketing.
• You can disconnect QuickBooks Online at any time, which stops our access going forward.

5. How We Share Information

We do not sell your data. We share it only in these situations:

• Service providers. With vendors that host or support the Service (for example, cloud hosting), under contracts that require them to protect the data and use it only to provide services to us.
• Intuit. With Intuit/QuickBooks as necessary to operate the API connection you authorized.
• Legal and safety. When required by law, legal process, or government request, or to protect the rights, safety, or property of eTimesheets, our Customers, or others.
• Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy.
• With your direction or consent. When you ask us to share data with another service or person.

6. Data Retention

We retain information for as long as your account is active and as needed to provide the Service. After your account ends, we retain Customer Data for a limited period to allow for export and recovery, and then delete or anonymize it, unless a longer period is required by law. You may request earlier deletion as described below.

7. Security

We use commercially reasonable administrative, technical, and physical safeguards to protect information, including encryption in transit and at rest, access controls, and authentication via Intuit's standard OAuth process so that we do not store your QuickBooks credentials. We work to protect your data and ask that you protect your account credentials and notify us promptly of any suspected compromise.

8. Data Location

We store and process data in the United States. If you access the Service from outside the United States, you understand that your information may be processed there.

9. Your Choices and Rights

• Account data. Account administrators can access, correct, or update account information within the Service or by contacting us.
• Employee data requests. Because the Customer controls employee data, requests from employees to access, correct, or delete their data should generally be directed to their employer (the Customer). We will assist the Customer in responding to such requests as required by law.
• Privacy requests. Depending on your location, you may have rights to access, correct, delete, or restrict the use of personal data. To make a request, contact us at info@etimesheets.com.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy with a new effective date and, where appropriate, notify you. Your continued use of the Service after changes take effect means you accept the updated policy.
